By confirming your reservation you have read, understood, and agreed with the following policies:
30-DAY CANCELLATION. We collect a down payment of up to $500 (per home) at the time of booking. This down payment is non-refundable unless travel insurance has been purchased. If the total cost of the reservation is under $500, the total cost of the reservation will be collected at the time of booking and is non-refundable. As long as the reservation is cancelled outside of 30 days prior to the scheduled check-in date, the amount collected at the time of booking can be used as a credit towards another stay within a year of the date the reservation was made. If the reservation is cancelled at or inside of 30 days prior to the scheduled check-in date no refund will be issued unless the booking can be replaced, and no credit will be applied. NOTE: Travel insurance is offered to address coverage of some or all of a missed stay, with purchase at the time of booking and poilcy requirments are applied.
PAYMENT IN FULL. Payment in full is due 30 days prior to the scheduled check-in date. If we have not received your final payment by that time your credit card will be charged for the remaining balance.
MERCHANT SERVICE FEE. Bend Dutch Vacation Rentals absorbs the merchant service fee for the initial down payment on a reservation, up to $500. If the balance for your reservation is more than $500 we recommend sending a check for the remainder (due no later than 30 days before arrival). We can run the remaining balance to the card on file but we do need add 3% for a secondary merchant service fee. The 3% addition can be avoided by sending in a check for the balance.
CREDIT CARD REQUIRED. A VISA or MasterCard, is required as a guarantee that you will fulfill your rental obligations. You are responsible for following check-in/checkout procedures and leaving the unit in an acceptable condition. In the event of a violation of this agreement, you understand and authorize Bend Dutch Vacation Rentals, LLC to debit & process your credit card for the necessary charges.
PETS. We have owners and guests who are highly allergic to animals and we thank you for helping us maintain their pet free homes. Guests with unauthorized dogs will forfeit their rent and be asked to leave the property immediately. We welcome approved dogs into our pet-friendly homes. Our pet fee is a minimal $12 per night, per pet. If you did not register your dog(s) when you made your reservation, please call our office at 541-322-2018 so youll be sure to receive your complimentary doggie gifts.
MAXIMUM NUMBER OF GUESTS. Deschutes County Code 5.12.020 requires that the number of people in the home does not exceed the maximum overnight occupancy allotted for that home (children under 5 years old are not considered in the occupancy count).
LARGE GROUPS. Groups that meet or exceed the occupancy limit in our largest homes will be charged a fee for additional laundry. Large groups typically use all extra towels and linens that we keep stocked. Housekeeping charges for extensive time spent on laundry.
NON-SMOKING. All of our homes are non-smoking. Please do not throw cigarettes into the snow, yard, or onto the driveway. Please dispose of all cigarette trash in appropriate containers. Thank you for your cooperation. REPORT REPAIRS. We do our best to ensure that each home is fully functional when turned over to guests. If you find any appliances that are not working properly or any other problems, let us know immediately 541-322-0218. There are no refunds issued to guests, as every effort is made to service a request.
PARKING RESTRICTIONS. Homeowner association Rules and Regulations prohibit parking on the roadways or common areas at any time. No RV, trailer, or boat may be parked on home sites except for loading and unloading and for no longer than 24 hours. Contact the us in eventthatyou have a n RV ortrailerand we'll align you with properties that have additional parking to accommodate.
EARLY CHECK-INS AND LATE CHECKOUTS. Check-In time is 4:00 PM. Check-Out time is 11:00 AM. There are no exceptions made during the BUSY SEASONS (especially Christmas, New Years, and Summer). Call us 24 hours before you check in or checkout to inquire about coming in early or staying longer. Early arrivals or late departures will only be considered during OFF SEASON months.
COOKING EQUIPMENT. Each house is equipped with pots, pans, plates, cups, eating and cooking utensils. Each individual homeowner stocks their home with cooking equipment they feel is necessary to have. If there is something you plan to cook that requires a specific piece of cooking equipment other than your basic regular sized pots and pans, you may want to bring it with you (i.e. woks, large boiling pots, coffee grinder, etc.). We cannot guarantee that our rental homes are stocked with spices, oils, sugar, or other cooking ingredients, as well as tin foil or plastic wrap. Most of our homes have gas BBQs.
HOT TUBS. IMPORTANT: Do not sit on the hot tub cover, it is only styrofoam coveredinplasticand will crack of break! No eating or drinking are allowed in the hot tubs. Beer or wine, drinks , food spilled in the tub or a child urinating in the tub will neutralize the chemical balance allowing bacteria to grow.If the hot tub looks cloudy or dirty, stop usage and call the Bend Dutch Vacation Rentals immediately. Should we have to drain the hot tub because of food, drink, or excessive dirt in the tub there will be a $100 fee. The hot tubs in our homes are cleaned & serviced by professional hot tub companies before and after each guest. Please use the hot tub at your own risk. Each time you enter the hot tub you add soil to the tub.This may cause skin reactions later. Over usage by too many people may cause the hot tub to stop working.
Good Neighbor Guidelines
24-Hour Contact Information. If at any time you have concerns about your stay or in regards to your neighbors, please call the 24-hour contact number listed in the rental lease agreement or posted in the unit. In the event of an emergency, please call 911.
General Respect for Neighbors. Be friendly, courteous, and treat your neighbors like you want to be treated. Respect your neighbors and their property.
Noise. Please be considerate of the neighborhood and your neighbor’s right to the quiet enjoyment of their home and property, especially after 10:00 p.m.
Maintenance of Property. Please be sure to pick up after yourself and keep the property clean, presentable, and free of trash.
Garbage Disposal. Place trash and recycling containers at the appropriate place and time for pickup. Return trash and recycling containers to the designated location within 12 hours after pickup. Cigarette butts should be properly extinguished and disposed of in the garbage.
Parking and Traffic Safety. Refer to the parking diagram posted in the unit and park on-site whenever possible. Do not park on lawns or park in a manner which blocks driveways, sidewalks, alleys, or mailboxes. Drive slowly through neighborhoods and watch for pedestrians and children playing.
Pets. PLEASE promptly clean-up after your pets. Prevent excessive and prolonged barking, and keep pets from roaming the neighborhood. Control aggressive pets, and be sure to abide by the local leash laws. Store pet food indoors and in a secure container to reduce the likelihood of unwanted pest problems.
Tenant/Guest Responsibility. Approved guests and visitors are expected to follow the Good Neighbor Guidelines. Be sure to read your rental agreement for additional terms and restrictions which may include consequences for violating the Good Neighbor Guidelines.
